The Challenge: Organizing the Work Evolution Summit 2024

Recently, Life in Codes tackled the complex challenge of organizing their Work Evolution Summit 2024 in Bucharest. The event involved coordinating various stakeholders, including exhibitors, media partners, and PR teams across different countries, all within a limited timeframe. They kept conversations via countless emails, while still making notes and materials on Confluence.

The team found themselves overwhelmed by an “avalanche of emails”. Sharing documents via email threads introduced risks, such as:

  • Human error, like sending outdated information.

  • Difficulty identifying the latest version of documents.

  • Managing parallel communication threads.

Recognizing the need for a more structured and secure approach, Life in Codes decided to try External Share for Confluence - an app suggested by their CEO, Alex. The goal was to simplify document sharing, improve clarity, and ensure seamless coordination with their external partners.

The Solution: External Share for Confluence

With External Share for Confluence, Life in Codes was able to:

  • Create dedicated Confluence pages for each team (e.g., speakers, exhibitors, organizers).

  • Share content selectively and securely with external stakeholders.

  • Replace scattered email threads with a more structured and organized workflow.

External users (like exhibitors and media teams) found the app intuitive and easy to use. As Madalina said, some were thankful for switching their communication from email to External Share, as it was way more convenient for them 😉

When asked about the most important feature or aspect of using External Share, Madalina replied that Life in Codes particularly appreciated the ability to:

  • Share only relevant content - especially important when sharing sensitive data like budgets.

  • Rely on the notification system to track updates and changes.

As Madalina explained, External Share for Confluence allowed them to switch from chaotic emails to a structured, secure approach that simplified communication. The ability to share selectively was a game-changer for their team.

Feedback and Future Use

During the interview, we asked Madalina if there was any feature we could add to our app to make it even better. Madalina shared a valuable suggestion: the ability to tag external users in comments. When asked if they would use External Share for Confluence in the future, Madalina enthusiastically confirmed, that they are planning to use it again for organizing their next event, Work Evolution Summit 2025.
