The Challenge: From SharePoint to Confluence, with a Compliance Gap
One of Envorso’s major manufacturing clients was migrating legacy documentation from SharePoint to Confluence to improve transparency and real-time collaboration. While Confluence delivered on that front, it lacked one crucial component: structured, multi-level approval workflows.
Compliance teams were bogged down by:
-
Fragmented workflows managed through emails and external tools
-
Lack of audit trails and approval histories
-
Delays in certification processes and audit readiness
As William put it, this was becoming “a real blocker” for internal audits and ISO certification prep.
Discovering Approval Path for Confluence
When evaluating marketplace apps, Envorso prioritized tools with native integration, ease of use, and clear visual workflows.
“What stood out about Approval Path was its simplicity, configurability, and the native Confluence integration. I don’t need external scripts or dashboards - everything happens inside the app.”
Approval Path checked every box, offering:
-
Multi-level, sequential approval chains
-
Clear visual indicators for page status (approved, in-progress, rejected)
-
Full audit logs and inline commenting on rejections
-
No-code configuration by business users without relying on IT
Onboarding: Fast, Intuitive, and Low-Touch
Despite varying levels of Confluence experience among the client’s teams, onboarding was smooth and fast.
They started the onboarding with the Engineering and IT teams - the ones with some experience with Jira and Confluence. After configuring a few default templates and training space admins, adoption happened organically. Teams appreciated that everything happened on the page itself, with no extra dashboards or hidden menus. Notifications were clear and action-oriented, reducing support costs and encouraging rapid adoption.
“Within a week, over 60% of the target team had participated in at least one approval flow.”
Features That Matter
Here’s what Envorso and their client found most valuable:
✅ Sequential approval chains for individuals or groups
✅ Real-time status indicators directly on pages
✅ Full audit trail with comments and rejection feedback
✅ No-code setup and team autonomy
✅ UI that’s intuitive and business-friendly
“The adoption is easy, smooth, and fast. The UI is so intuitive, it reduces our support costs.”
Suggestions for Improvement
While the experience was overwhelmingly positive, William and Filip shared two valuable suggestions to improve the app further:
-
Bulk approvals: The ability to view and approve multiple pages at once
-
Approval expiration rules: Expiration logic that reassigns approvals or escalates delays
“After three days, if someone hasn’t approved, automatically delegate to someone else. That would be great.”
These are features we’re now actively exploring - thanks to their feedback!
Final Thoughts
Envorso’s journey with Approval Path for Confluence highlights how powerful results come from aligning the right tool with a clear, user-focused rollout.
“We picked your product, although we had multiple choices. Yours was one of the best we found on the market - thumbs up for that.”
And perhaps the most important takeaway:
“Adoption is the most important part of implementing the tool. You can build the best product in the world, but if no one uses it, what’s the value?”
We couldn’t agree more, and our apps are the best evidence 😉
A huge thank you to William and Filip from Envorso for this insightful conversation - and for being such thoughtful partners in building better experiences for Confluence users worldwide.
